Marketing Assistant
EUCI, a 30+ year leading provider of conferences, seminars, workshops and courses designed for the energy/oil & gas/infrastructure/water & wastewater industries is branching out and seeking a hard-working, data entry/administrative assistant to play a key supporting role in our marketing team. Through internet searches and other data entry efforts, you will help grow and clean our marketing database by filling in missing prospective contact information and finding new prospects along with clerical duties as needed (filing, copying, mailing, etc). This job provides flexible working hours in a professional office setting.
Responsibilities include:

Contacting potential attendees to vet interest in events

Serving as the liaison for our company and work closely with our client companies, develop relationships via phone/on-site

Online research to verify accuracy of database contacts

Researching/validating potential attendees for follow up contacting (via phone/email)

Creating/verifying continuing education requests and following appropriate guidelines

List addition/Data entry and research from variety of print and online resources [Conduct data entry and research of senior management in major companies across different industries from variety of print and online resources]

Prospect list refinement/Prospect list building [Identify key personnel from target companies and extract key contact details (name, job title, email, phone number, state), ensuring information in the marketing database is accurate, high quality, and effectively maintained]

Additional duties as assigned and based on skillset
May include – Identifying and working with media and supporting organizations to enhance brand awareness with target audiences and helping with event marketing
Required skills:
- Interest in the industry fields we work in and interest in learning more about the industries
- Self-motivated and outgoing
- Must be comfortable speaking with people both over the phone and on-site – attending our meetings and networking with attendees to build relationships
- Experience with web surfing/research, data entry
- Willingness to research companies / contact potential attendees via phone/email
- Needs to be able to take ownership of the project and keep management up to date on identified companies and where they are in the process
- Detail-oriented
- High-accuracy & high-speed typing (60 wpm +)
- Comfortable with computers
- Proficiency with Microsoft Excel
- Use of Adobe suite of products
Qualifications:
- Bachelor’s degree preferred, high school diploma or equivalent required
- 2+ years’ experience working in a professional setting and experience searching the internet

Conference Coordinator
The Conference Coordinator is the primary logistical and operational planner for all live events. The position requires “A to Z” meeting planning from site selection to on-site management. Our Conference Coordinators are organized, efficient and highly skilled meeting planning professionals. This is a new position due to growth.
Major responsibilities are:
- Coordinating 50-75 multi-day educational conferences a year
- Handling logistics for multiple events
- Responding quickly and effectively to participant requests
- Site selection and meeting room planning
- Competitively and aggressively negotiating venue contracts
- Managing all speaker communications and logistics
- Arranging and ensuring seamless F&B and A/V service
- Shipping and coordinating all conference materials
Successful candidates must clearly present:
- Background in meeting planning and/or the hospitality industry
- Poised and professional communication skills
- Obsessive and understandable organizational style
- Ability to multi-task with attention to detail
- A history of aggressive negotiation
- A Bachelor’s degree
